HOW YOU CAN MAKE AN IMPACT

As a Document Control Specialist, you will be responsible for managing and maintaining project documentation and information systems across signaling rail projects. This role ensures that all technical and administrative documents are properly stored, version-controlled, and distributed to relevant stakeholders in compliance with project standards and regulatory requirements.

Key Activities
• Set up and maintain document control systems (e.g., Oracle Unifier ProjectWise, Aconex, eB).
• Register, track, and archive technical documents including drawings, specifications, and signaling schematics.
• Ensure version control and proper labeling of all documents for multiple projects.
• Monitor submission deadlines and ensure timely distribution of documentation.
• Review documents for accuracy, formatting, and compliance with project standards.
• Support audits and ensure documentation meets regulatory and client requirements.
• Maintain confidentiality and security of sensitive project information.
• Assist project teams with document preparation and submission packs.
• Liaise with internal departments, contractors, and clients to ensure smooth document flow.
• Provide training and support on document control procedures and systems.
• Generate reports on document status, outstanding submissions, and compliance metrics.
• Coordinate transmittals and incoming documentation from external parties.
• Support the development of standardized document control processes across projects.

QUALIFICATIONS

• High school diploma or GED. Bachelor's degree is preferred.
• 5+ years of experience in document control, ideally within rail or infrastructure projects.
• Familiarity with signaling systems and terminology is advantageous.
• Experience working on $100m+ Railway Engineering projects
• Proficiency in Microsoft Office Suite and document control platforms (e.g., ProjectWise, Aconex).
• Strong organizational and time management abilities.
• Attention to detail and accuracy.
• Excellent communication and interpersonal skills.
• Fluent in English (both verbal and written)
